Glossary:

SSA	- Supercosmos Science Archive
VDFS/W	- VDFS configured for WFCAM operations
VDFS/V	- VDFS configured for VISTA operations
WSA	- WFCAM Science Archive, a component of VDFS

1. Welcome and Terms of Reference

1.1 Introduction

All introduced themselves - as above - and noted their role.

1.2 Terms of Reference

JE: explained that Vista Project Board oversee the VDFS. From Oct 2004
a new oversight arrangement will be put into place by PPARC.

TN: Who drives the science requirements for the VDFS

JE: WFCAM through UKIDSS Survey Scientist, VDFS through Vista PS.

AGREED: VDUC Terms of Reference v2.0

2. Overview of VDFS project goals and organisation

JE: provided an update [ppt slides]

3. UKIDSS science requirements on VDFS/W [ppt slides]

SW: discussed the WFCAM pipeline and science archive Science
requirements.

TN: decision today is one on whether or not a review is required of
the WFCAM science requirements.

NW: who 'holds' the WFCAM science requirements for the pipeline.

SW: Andy Adamson (JAC) is responsible for the WFCAM Pipeline science
requirements.

TN: VDUC should be responsible for the WFCAM science requirements

AGREED: function of VDUC is to review the WFCAM science requirements,
and receive from the VDFS project input as to possible deviations to
the project delivery schedule and impact this may have on delivery of
the priority science programmes.

ACTION: VDUC-FM1-3 MI: provide link to details of 'core radius' (a
catalogue parameter) to SW.

4. Consortium Science Verifier [ppt slides]

SD introduced himself - in position as science verifier from April 04.

verification - commissioning (08/04), on-sky verification (10/04),
science verification (early 05?)

It was noted that early commissioning will be with engineering grade
detectors in WFCAM - thus some implications for processing - as science
grade detectors are integrated at a later point in commissioning.

AGREED: SD encouraged to interact closely with the VDFS project
team.

ACTION: VDUC-FM1-4: SD to report as a standing item Science
Verification activities at each forthcoming VDUC meeting.

5. VDFS Pipeline (WFCAM versions) [ppt slides]

MI described the VDFS pipeline system.

pre commissioning tests have been carried out using FIRES (ISAAC)
data.

MI noted that calibrating the complete survey to 2% will be a
significant task.

6. VDFS Archive (WFCAM versions) and user Interface	[ppt slides]

NH updates on the science archive

NH noted that the Supercosmos Science Archive which has just been
released gives a good pointer to the features to be available in the
WSA.

The group AGREED that they would be happy to have some client side s/w
installed if that gave access to useful features (TopCat access to
VOTable outputs from the SSA was given as an example - this requires
java 1.4 and java webstart to be installed on the end user machine).

7. Science requirements on VDFS

JE led the discussion of the UK Vista User requirements Doc -
VDF-SPE-IOA-00001-002

For planning purposes a wide, medium and deep survey are assumed.

The agreed science requirements for the Vista aspects of VDFS are
needed now.

MI: VDFS final design review is Dec 2004 for the ESO deliverables.

TN: thus need to address VDFS science/user requirements in time for
the Dec 2004 FDR. So by 15 Aug 2004.

NW: noted the current draft is a user requirements doc, not
specifically a science requirements document.

AGREED: the VDFS/V user requirement doc needs a statement to note that
the top level science requirements are derived from the original Vista
science drivers.

ACTION: VDUC-FM1-7A: (by 1 June) Will Sutherland to update VDFS/V user
requirements with brief statement of top level science requirements
(Vista science requirements update to reflect IR focus now of
Vista). The starting point being the design reference programmes in
the Vista OCDD.

ACTION: VDUC-FM1-7B: JE to circulate updated science/user requirements
doc (from Will Sutherland) to the VDUC, Vista Science Committee and
UKIDSS consortium (UK members) for comment by 15 June 2004.

ACTION: VDUC-FM1-7C: all VDUC encouraged to input science drivers for
possible inclusion in the science/user requirements doc to WS by 21
May 2004.

ACTION: VDUC-FM1-7D: TN will inform the committee whether or not a
meeting of VDUC is required ~end June 2004 to discuss development of
the science requirements for Vista/VDFS.

ACTION: VDUC-FM1-7E: NH to report at next meeting (assuming that there
is not one organised end June 2004, in which case the one subsequent
to that) on user feedback on the SSA.

JE: version 2 VDFS pipeline release is currently scheduled for end Dec
2004.

SW: noted the upcoming VST survey call (deadline ~Oct 2004?).

7.1 Process for feeding science requirements to the VDFS project.

Level 1: first avenue should be directly to the VDFS project team.

Level 2: significant science requirements/ alterations should be
agreed through the VDUC and subsequently fed to the VDFS project.

8. AOB

AGREED: there will be an agenda item for the later 2004 VDUC meeting
addressing implications of multi-wavelength science (including VDFS
data products).

RM: noted that the VDUC should look at the WSA schema - this defines
the header items that you are able to query on.

ACTION VDUC-FM1-8A: NH: mail VDUC members VDFS/W database schema for
comment by 15 Jul 2004.

ACTION VDUC-FM1-8B: JE: to request PPARC send expenses forms to VDUC
members

9. Date of Next Meeting

ACTION VDUC-FM1-9A: TN: organise VDUC meeting ~Dec 2004.

10. Action Review

ACTION: VDUC-FM1-3 MI: provide link to details of 'core radius' (a
catalogue parameter) to SW.

ACTION: VDUC-FM1-4: SD to report as a standing item Science
Verification activities at each forthcoming VDUC meeting.

ACTION: VDUC-FM1-7A: (by 1 June) Will Sutherland to update VDFS/V user
requirements with brief statement of top level science requirements
(Vista science requirements update to reflect IR focus now of
